How Commercial Refrigeration Service Requests Work
Step-by-step: what happens from intake through provider dispatch, what you can confirm at each stage, and what to expect.
About Columbus Commercial Refrigeration
Columbus Commercial Refrigeration is a commercial refrigeration service request website — not a repair company. Repair work is performed by an independent local commercial refrigeration provider when one is available and the request fits provider criteria. This page explains how the request process works from your side.
The Service Request Process

Submit a Service Request
Call the request line or use the online contact form. Intake collects the information that matters most: facility name and address, equipment type and brand, current temperature and normal setpoint, urgency level, product-at-risk status, and contact information for the facility.

Equipment Details and Photos
The more detail at intake, the better the provider match. Useful information includes brand, model number, approximate equipment age, last PM service, the specific failure symptom, and photos of the nameplate and any visible failure points. Photos of fault code displays, visible frosting, or condenser condition help the provider arrive prepared.

Request Review and Provider Matching
The request is reviewed for service-area fit, equipment type fit, urgency, and applicable requirements (EPA Section 608 certification for refrigerant-handling work, after-hours availability, insurance documentation, facility vendor requirements). Not every request can be matched — provider availability, location, equipment type, and schedule all affect whether a match is possible.

Provider Confirmation Before Dispatch
Before any provider is dispatched to your facility, you receive the provider identity, ETA, and rate structure. This is the point to confirm diagnostic fee, trip charge, labor rate, after-hours surcharge, and any documentation requirements. No provider arrives without your confirmation.

Diagnosis, Quote, and Repair
The dispatched provider diagnoses the failure, explains the repair path, and confirms the quote before work begins. Repair documentation, refrigerant handling records (where EPA Section 608 work is involved), and equipment temperature recovery notes can be requested from the provider for your records.
What You Can Confirm Before Any Work Begins
At provider confirmation (Step 4), you can request the following before any provider arrives at your facility:
- ›Provider business name and contact information
- ›Estimated time of arrival
- ›Diagnostic fee and whether it applies toward repair
- ›Standard labor rate and after-hours rate
- ›Certificate of Insurance (COI) — on request
- ›EPA Section 608 certification for refrigerant-handling work
- ›Ohio licensing or registration documentation where applicable
- ›Temperature recovery documentation for health department or HACCP records
- ›W-9, PO, or vendor onboarding documentation for your facility
What This Process Does Not Guarantee
A service request does not guarantee dispatch. Provider availability depends on location, equipment type, urgency, schedule, and the specific requirements of your facility. Not every request can be fulfilled — if a provider is not available for your request, you will be informed so you can contact other service providers directly.
This site does not employ technicians, does not own or operate any repair company, and does not set the rates, policies, or service terms of the dispatched provider. All repair agreements are directly between your facility and the independent provider.
Emergency and Urgent Requests
Requests with product at risk, health department visits pending, or active service window failures are flagged at intake as urgent. Urgent requests receive priority in the matching and confirmation process. After-hours, weekend, and holiday requests are accepted — after-hours labor rates apply and are confirmed before dispatch.
