Information You Provide
When you submit a commercial refrigeration service request through the website or by phone, we collect the information you provide: business or facility name, your role, contact name, phone number, email address, full service address (street, city, ZIP), equipment type, brand, model, serial, current temperature, normal setpoint, urgency, product-at-risk status, documentation needs (COI, W-9, PO, vendor onboarding), and a description of the issue.
Photos and Files You Submit
If you upload photos or files with a request, we receive those files and their metadata. Photos are intended for equipment nameplates, failure points, and temperature displays — they help the dispatched provider arrive prepared.
Do Not Submit Sensitive Personal Data
Please do not submit photos or files that include sensitive personal data, identifiable individuals without consent, employee badges, payment cards, government identification, health records, or other confidential information. The request line does not need that information to route a commercial refrigeration repair.
Text Message Consent
By submitting a service request that includes a mobile phone number, you agree that Columbus Commercial Refrigeration or the dispatched independent commercial refrigeration provider may contact you by SMS text message in connection with that request — including dispatch confirmations, ETA updates, scheduling, and follow-up. Standard message and data rates may apply. Reply STOP at any time to opt out of further text messages, or HELP for help. Consent to text messaging is not required as a condition of service; you may also request voice or email contact instead.
Phone Calls, Text Messages & Call-Tracking Information
Calls to the published phone number may be routed through a call-tracking or call-handling system so commercial service requests can be documented, attributed, and directed to an appropriate independent local commercial refrigeration provider when one is available. Information collected may include phone number, caller location data made available by the carrier, call time and duration, and the marketing source associated with the number you dialed. Text messages received in connection with a request may be handled the same way.
Call Recording & Transcription Notice
Calls may be recorded or transcribed for quality control, request handling, attribution, fraud prevention, and provider coordination, with notice provided where required by law. If you do not wish for the call to be recorded, you may end the call and submit the request through the online form instead.
Website Analytics & Device Information
The website uses analytics tools that collect standard web information such as page views, referring URLs, device type, browser, approximate location based on IP address, and session behavior. This data is used to understand how the site is used and to improve content and performance.
How We Use Information
Information submitted through the request line is used to route the request to an independent local commercial refrigeration provider that fits the service area, equipment, urgency, credentials, and schedule; follow up on the request; document the request; prevent spam and fraud; comply with legal obligations; and improve site operations.
Sharing With Independent Commercial Refrigeration Providers
Service request information is shared with the dispatched independent commercial refrigeration provider so they can review, schedule, and perform the requested work. Independent providers handle that information under their own privacy practices.
Lead Routing & Possible Compensation
Columbus Commercial Refrigeration may receive compensation from independent commercial refrigeration providers for service requests routed to them or for work that results from those requests. Compensation arrangements do not change the privacy obligations described here.
Website Vendors
We use third-party vendors to operate the website, including hosting, email, call tracking, customer relationship management, analytics, form processing, and spam prevention. Those vendors access the information necessary to provide their services and are expected to handle it consistent with their own terms.
Legal & Safety Disclosures
We may disclose information when required by law, in response to lawful requests by public authorities, to enforce our Terms, to prevent fraud or abuse, or to protect the safety of any person.
Independent Provider Privacy Practices
Once a request is routed, the dispatched provider handles your information under its own privacy practices. We do not control how independent providers retain, use, or share information you share directly with them.

The site uses cookies and similar technologies for analytics, call tracking, attribution, form functionality, and site performance. You can control cookies through your browser settings. Disabling cookies may affect form functionality and tracking accuracy.
Data Retention
Service request information is retained as long as needed to handle the request and for a reasonable period afterward for follow-up, warranty discussions with the dispatched provider, legal compliance, and recordkeeping.

We use reasonable administrative, technical, and physical safeguards to help protect the information we collect. No system is perfectly secure; you submit information at your own risk.
Your Privacy Choices & Rights
You can request access to, correction of, or deletion of personal information you submitted by contacting dispatch@columbuscommercialrefrigeration.com. Depending on where you live, you may have additional rights under applicable privacy laws.
Opting Out of Request Routing
If you do not want a request you previously submitted to be routed to an independent provider, contact dispatch@columbuscommercialrefrigeration.com and we will work to remove it from active routing.
Children's Privacy
The site is not directed to children under 13 and does not knowingly collect personal information from children.
Third-Party Links & Provider Communications
The site may include links to third-party websites and you may communicate directly with independent providers after a request is routed. We are not responsible for the privacy practices of third-party websites or independent providers.
